1. Scope of this policy
This Privacy Policy explains how Airan LLC ("Airan," "we," "us," or "our") collects, uses, discloses, and protects information in connection with our websites, software, and services. This policy applies to all websites, products, and service lines owned or operated by Airan LLC, currently including but not limited to AiranSuite (airansuite.com) and airancorp.com, and any additional websites, products, or services Airan LLC may introduce in the future (collectively, the "Services"). Where a specific product or service line has its own supplemental privacy terms, those terms apply in addition to, and do not replace, this policy.
By accessing or using the Services, you agree to the collection and use of information in accordance with this policy. If you do not agree with this policy, please do not use the Services.
2. Information we collect
The information we collect depends on how you interact with the Services. This may include:
Information you provide directly
- Contact information, such as your name, business name, email address, phone number, and mailing address
- Account and billing information, such as invoice details, payment terms, and client records you submit for us to process on your behalf
- Information submitted through contact forms, intake forms, scheduling tools, or account setup, including business details relevant to delivering our services
- Communications you send us, including emails, form submissions, and messages exchanged during the course of our services
Information collected automatically
- Device and usage information, such as browser type, IP address, pages visited, and time spent on the Services
- Cookies and similar tracking technologies, described further in Section 10
Information collected in connection with delivering our services
- Where you authorize us to access your accounting, invoicing, or payment systems in order to deliver our services, we collect the account, transaction, and client billing data necessary to perform those services
- Data related to invoices, payment reminders, and payment status for the purpose of managing your accounts receivable process
3. How we collect information
We collect information directly from you, automatically through your use of the Services, and, where you have provided written authorization, from third-party accounting, invoicing, and payment platforms that you use and control. We do not collect information from your customers or clients except as necessary to deliver the receivables services you have engaged us to perform, such as sending invoices or payment reminders on your behalf.
4. How we use information
We use the information we collect to:
- Provide, operate, and maintain the Services, including generating invoices, sending payment reminders, tracking disputes, and preparing account reporting on your behalf
- Communicate with you about your account, our services, and any changes to our policies or terms
- Respond to inquiries, provide customer support, and fulfill requests you make of us
- Improve, secure, and develop the Services, including diagnosing technical issues
- Comply with applicable legal, regulatory, and contractual obligations
- With your consent, send you marketing communications, which you may opt out of at any time
We do not use the information submitted to us for the purpose of delivering accounts receivable services for any purpose beyond delivering those services, unless you direct us otherwise or the law requires disclosure.
5. How we share information
We do not sell your personal information or your clients' personal information. We may share information in the following limited circumstances:
- With service providers. As described in Section 6, we work with vetted service providers who help us deliver the Services on our behalf, under contractual confidentiality and data protection obligations.
- With your consent or direction. Where you specifically authorize us to share information with a third party, such as your bookkeeper, accountant, or another advisor.
- For legal reasons. Where required to comply with a legal obligation, protect our rights, investigate fraud, or respond to a valid legal process such as a subpoena or court order.
- In connection with a business transaction. If Airan LLC is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to standard confidentiality protections.
6. Service providers and data processing
To deliver our services, we rely on a small number of vetted, reputable third-party technology providers that support functions such as workflow automation, secure messaging, scheduling, and client communication delivery (including email, text message, and voice notifications sent on your behalf and in your business's name). These providers are contractually bound to use the information they process solely to provide services to us, to maintain appropriate confidentiality and security safeguards, and not to use your information, or your clients' information, for their own independent purposes such as advertising.
We also connect, with your written authorization, to accounting and payment platforms that you already use and control, such as your accounting software or payment processor, in order to synchronize invoicing and payment data. Those platforms remain under your ownership and control, and our access is limited to what is necessary to deliver the specific services you have engaged us for.
We periodically review our service providers to confirm they maintain security and privacy practices consistent with this policy.
7. Payment information
Airan LLC does not hold, custody, or route client payments. Payments are made directly into your own merchant and bank accounts through your own payment processor. Where payment card information is involved, that data is handled directly by your payment processor and does not pass through or reside on Airan LLC's systems. We may receive limited payment status data, such as whether an invoice has been paid, the amount, and the date, in order to apply that payment correctly and report on your receivables.
8. Data security
We maintain administrative, technical, and physical safeguards designed to protect the information we process, including access controls limiting data access to personnel who need it to perform their role, secure authentication practices, and confidentiality obligations for all personnel and service providers who handle client data. Payment card data is never stored on our systems, as described in Section 7.
No method of electronic storage or transmission is completely secure. While we work to protect your information using practices consistent with our industry, we cannot guarantee absolute security, and we encourage you to also take reasonable steps to protect your own account credentials and access.
9. Data retention
We retain information for as long as necessary to provide the Services, comply with our legal and contractual obligations, resolve disputes, and enforce our agreements. When information is no longer needed for these purposes, we take reasonable steps to delete or de-identify it, unless retention is required by law.
10. Cookies and tracking technologies
Our website may use cookies and similar technologies to operate core site functionality, remember preferences, and understand how visitors use our site so we can improve it. You can control cookies through your browser settings, including blocking or deleting them, though doing so may affect certain site features.
11. Your rights and choices
Depending on your location, you may have the right to request access to, correction of, or deletion of the personal information we hold about you, to object to or restrict certain processing, or to receive a copy of your information in a portable format. You may also opt out of marketing communications from us at any time by using the unsubscribe link in our emails or by contacting us directly. To exercise any of these rights, contact us using the information in Section 16.
We will respond to verified requests within the timeframe required by applicable law.
12. State privacy rights (including California)
If you are a resident of California or another state with a comprehensive consumer privacy law, you may have additional rights regarding your personal information, including the right to know what personal information we collect, the right to request deletion, the right to correct inaccurate information, and the right to opt out of certain disclosures. We do not sell personal information as defined under applicable state privacy laws, and we do not use personal information for cross-context behavioral advertising. To exercise your rights under an applicable state privacy law, contact us using the information in Section 16.
13. Children's privacy
The Services are intended for business use by adults and are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected information from a child, we will take steps to delete it.
14. International users
The Services are intended for businesses operating in the United States, and information we collect is processed and stored in the United States. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States, which may have data protection laws different from those of your jurisdiction.
15. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices, our services, or applicable law. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, provide additional notice. Your continued use of the Services after a change becomes effective constitutes acceptance of the updated policy.
